I coordinate emergency orders for an industrial pump distributor. In the last 18 months, I've processed 47 expedited KSB inquiries—48, if you count the one that landed this morning. That's the kind of work that forces you to build a checklist, because panic doesn't scale.
This is for plant engineers, procurement coordinators, and maintenance managers who need a KSB pump under a deadline. Maybe you have a failed submersible sewage pump and a process that can't stay down. Maybe you're quoting a mining dewatering project and the client gave you five days. Either way, this checklist is the order of operations that has worked for me.
There are seven steps. Some are obvious. One is almost always skipped. I'll flag it.
Step 1: Lock the exact KSB model before you call anyone
Don't call a distributor and say “I need a KSB pump.” You'll get ten quotes for ten different pumps, and none of them will be exactly what you need. The first step is to define the unit precisely.
Pull the existing pump data sheet. If it's gone, look at the nameplate for model, size, rated flow, head, speed, impeller diameter, motor power, and serial number. If you can't access the pump, take photos. A clear photo of the nameplate is worth more than a paragraph of description.
KSB SE & Co. KGaA has been manufacturing pumps and valves since 1871 (according to KSB's official site, ksb.com), so the product catalog is deep. “KSB pump” is not a specification. The model designation matters. A KSB Etanorm and a KSB Movitec are both KSB pumps, but they are not interchangeable.
When I'm triaging a rush order, the nameplate also tells me the pump age. That will matter later if you're trying to order spare parts instead of a whole new pump.
Step 2: Verify the “CE KSB” marking—and the paperwork behind it
A lot of search queries include 'ce ksb'. That's usually someone asking whether a KSB pump is CE marked. It's not a special product line. CE marking simply means the equipment meets the relevant EU directives that applied at the time it was manufactured.
For an industrial pump, the usual starting points are the EU Machinery Directive (2006/42/EC) and, for many pump casings, the Pressure Equipment Directive. If you're buying a pump for an explosive atmosphere, you'll also need ATEX documentation. I'm not a compliance engineer, so I can't tell you every directive that applies to your installation. What I can tell you from the procurement side is this: a photo of a CE plate is not proof of compliance.
Before you pay, ask for the declaration of conformity as a PDF. Also confirm that the model number and serial number on the declaration match the pump you're buying. I've watched a shipment get held in customs because the importer had a declaration for a different size unit. (That was a fun week. It wasn't.)
Should mention: I ask for the PDF before I ask for a payment link. If the vendor can't produce it, I assume they can't produce the pump either.
Step 3: Confirm the pump curve, not the catalog headline
KSB publishes pump data sheets with curves for each impeller diameter and speed. That's the document you need. A one-line catalog summary or a distributor's verbal “it should handle your flow” is not a pump curve.
Ask the vendor to send the exact pump data sheet for the model they're quoting. Check where your duty point falls on the curve. If it's at the far right edge of the recommended range, you're asking the pump to run where it will vibrate, cavitate, or overload the motor. If it's far left, you may have a recirculation problem.
I'm not a hydraulic engineer, so I can't design your system. But I can verify that the pump is selected near its best efficiency point. In a water treatment plant, a few percentage points of efficiency change the power bill over the life of the pump. For a mining dewatering pump, reliability matters even more.
When you have the curve, also check NPSH. If the available suction head is too low, the pump will cavitate no matter how good the curve looks.
Step 4: Get lead time in writing, not “around 4–6 weeks”
Price matters, but in an emergency, lead time matters first. The first question I ask is not “how much” but “where is the unit physically located?”
A KSB pump that's sitting in a regional distributor's warehouse can be on a truck today. A KSB pump that has to be assembled at a KSB SE & Co. KGaA plant—or worse, cast to order—may take months. Both are legitimate options. They are not the same product.
In January 2025, I had a customer need a specific KSB wastewater pump delivered within 48 hours. The local distributor had it in stock, and we hit the window. That same week, another quote for a custom alloy vertical pump came back at 16 weeks. Same brand. Completely different supply chain.
When you get a quote, ask for the lead time in writing: “confirmed ready to ship from [location] on [date].” If the vendor says “around” or “approximately,” ask them to commit. If they won't, assume the worst and keep calling.
Never expected the budget vendor to be the fastest one. Turns out they had the exact model in stock locally, which beat every discount on the theoretical calendar.
Step 5: Check the whole package: couplings, valves, controls
A bare pump is not a working system. It needs a baseplate, coupling, coupling guard, suction and discharge piping, valves, instrumentation, and probably a control panel. In my experience, the part that ruins an emergency schedule is not the pump.
If you're building a packaged pumping system, ask for an itemized list. Include flexible couplings, check valves, isolation valves, pressure gauges, level switches, and any quick-disconnect fittings specified for the job. Brands like Dixon are common for industrial quick disconnects. For control valves, you may see CVS in the specification. These aren't optional accessories—they're the pieces that turn a pump into a pump system.
For wastewater applications, the control panel and level sensors often have longer lead times than the pump itself. I always ask: “Is this quote for the pump only, or the complete package?” The answer changes the deadline.
Oh, and if the vendor says “complete package” without itemizing it, a red flag goes up. That's how you get a quote for a pump, a baseplate, and no coupling.
Step 6: Ask for the documentation before you pay
I learned this one the hard way. In 2023, a cross-border order sat in a warehouse for ten days because the declaration of conformity didn't arrive with the freight. (Which, honestly, made me want to scream.) Since then, my rule is: paperwork first, payment second.
For a typical KSB pump order, the critical documents are:
- Declaration of conformity
- Pump data sheet with the tested performance curve
- Material certificate (if the wetted parts are special alloy)
- Pressure test report
- Commercial invoice and packing list
If you're buying from a reseller rather than directly from KSB, ask for the original manufacturer documents. If they say “we'll provide later,” that's a delay risk. I've had to explain to a client that a warranty claim was denied because the purchase was outside the KSB authorized channel.
Step 7: Plan for receiving and startup before the truck arrives
This is the step that doesn't get attention until it's too late. The pump is on its way. You're relieved. Then it arrives, and you realize no one checked whether the crane is available, the foundation bolts fit, or the motor rotation is correct.
Before the shipment arrives, decide who will inspect the crate, who will remove the packing, and who will verify the serial number against the pump data sheet. For a larger pump, schedule alignment, grouting, and electrical connection ahead of time.
In Q3 2024, we had three customers with emergency shutdowns in the same week. The two who had booked a service technician in advance were back online within a day. The one who hadn't waited four days. Same type of pump. Very different outcomes.
I'm not a field service engineer, so I don't commission pumps personally. But I know that scheduling the specialist on day one is faster than trying to find one on day five.
What most people get wrong
Search behavior causes a lot of confusion. Someone types 'henry age' when they're actually trying to find out how old a pump is. That's not a KSB term. The correct path is the serial number and date code on the nameplate. KSB's date code tells you the build date. I once looked at a “new old stock” pump: the crate was clean, but the serial number decoded to a unit manufactured eleven years earlier. The seller didn't mention it. The date code told the truth.
Search noise works the other way too. CVS can mean a control valve on a spec sheet, or it can mean an unrelated company. Dixon can be the coupling brand you need, or it can be a string of search results that have nothing to do with pumps. Don't let search snippets decide your spec. Use model numbers and datasheets.
One more caution: be careful with unauthorized resellers. A KSB pump might look identical anywhere, but the warranty, technical support, and documentation flow can be very different. If the deal is too clean and the price is too low, ask for the serial number and verify it with KSB before paying.
Final reminder
Lead times, model availability, and compliance rules change. This checklist reflects my experience through early 2025, and it should be verified against current KSB data and local regulations.
At least, that's been my experience with deadline-critical pump orders. Efficiency isn't about moving fast for the sake of it. It's about removing the uncertainty that creates delays. A checklist won't make the vendor move faster, but it will make sure you're not the reason the order stops.
