The 2020 Lincoln Pump Replacement That Changed How I Buy Pumps

February 2020. I was staring at three quotes for a submersible sewage pump in the 2020 Lincoln lift station replacement. The TV in the break room had some game on—White vs Knicks, I think. Nobody cared. We had a different kind of matchup: White Pump & Supply vs. Knicks Industrial vs. a company I hadn't seriously considered before: KSB.

I'm the procurement manager for a small municipal utility. I've tracked every invoice and work order for six years. Our annual maintenance budget is around $180,000, and this lift station was about to eat a big chunk of it.

A familiar failure

Dan Groves, our maintenance lead, had already pulled the old pump twice in 2019. The first time was a blocked impeller. The second time was the seals. He put the failed parts in a milk crate and labeled it 'Lessons.' That crate is still in the corner of the shop.

Knicks also said lead time was eight weeks. We needed the station running in four.

Then the KSB quote arrived: $18,100.

It took me six years and about 40 vendor quotes to understand that the price tag is only the entrance fee.

I almost didn't read the KSB quote. But Groves had worked with KSB pumps at his previous plant. He said, 'Ask them to show you the test data.' So I did.

I also asked to see the KSB Halle—the company's test hall in Frankenthal. Travel wasn't happening in early 2020, but a technician did a remote walkthrough. It says product claims need to be truthful, not misleading, and substantiated. I started applying that standard to every pump quote. KSB was the only vendor that gave me a full test report without me asking twice.

The money moment

Here's where my spreadsheet got interesting.

White: $15,500 total with startup and test report. Knicks: $11,900 upfront, but $4,100 extra energy over 10 years and a longer lead time. KSB: $18,100 with everything included, plus a two-year warranty.

The surprise wasn't that White's quote was lower. It was how much hidden value came with the 'expensive' option. Support, test data, a warranty that didn't require a separate service contract.

I have mixed feelings about paying more upfront. On one hand, it hurt the quarterly budget. On the other, when I calculated emergency overtime, repair call-outs, and energy over five years, the KSB pump projected about $7,300 less than White and $9,800 less than Knicks. Those numbers are in our cost tracking system.

Dan Groves said, 'You're buying a pump, not a price tag.' He was right.

What happened after install

We installed the KSB pump in March 2020. It ran through the first night with no alarms. The following week, a rag got wrapped around the impeller. The pump faulted. So no, it wasn't zero-maintenance. But the fault was ours—the screening had a gap we should have fixed years earlier.

A couple of honest caveats

Honestly, I'm not sure why KSB's pricing can look high on the first line. My best guess is that testing, documentation, and service infrastructure are built into the number. If someone has better insight, I'd love to hear it.

I also won't tell you KSB is the right choice for every lift station. Our plant manager recently chose a different pump for a small stormwater lift because KSB's footprint didn't fit the vault. That was the right call.

But for the 2020 Lincoln project, the decision was never really White vs Knicks. It was upfront price vs. long-term reliability. KSB won because the total cost was lower, and the intangible confidence was higher.

If I had to give one piece of advice to another cost controller: don't compare the first line. Compare the pump curve, the test report, the warranty, the support, the energy use, and the probability that you will be ripping the pump out in two years. It took me six years and enough milk crates of broken parts to learn that.
